Front Desk Administrator

WELBRO Building Corporation,  an employee-owned company, has an immediate full-time opportunity for an Office Services Coordinator in our corporate office in Maitland, Florida. This role is ideal for someone with a receptionist or hotel/resort front desk agent background looking to expand their responsibilities and work normal M-F work days/hours.

The candidate will be responsible for performing the complete scope of front desk services, office supply procurement and billing, event coordination, and HR department support. Professional development opportunities are available. This position is a 4 to 4.5 day, 32 – 40 hours per week role and is eligible for all full-time benefits. Local candidates preferred.

Key Duties

  • Create a professional, helpful and friendly impact at the front desk on all individuals who visit WELBRO’s office or make telephone contact; screen phone calls from solicitors, identify the right associate to take certain calls, identify where associates are, etc…
  • Execute the procurement, coordination, and billing reconciliation of:
    • Office & kitchen supplies
    • Office supply accounts for jobsites
    • Corporate shirts, anniversary items, and birthday cards and birthday gift cards
    • Gift cards
    • Printed materials such as business cards
    • Vending machines
    • Shipping & receiving services
  • Assist the HR Department in training and event coordination including
    • Training room and event setup & support (food, beverages, supplies)
    • Training evaluation administration
    • Training data/history input, and tracking in Viewpoint
    • Take lead or assist in planning and executing company events
    • Researching and booking event vendors
    • Assist in identifying training needs
    • Assist in identifying available training classes and resources in specific topics
  • Coordinate and order flower arrangements, Marketing Department supplies, donations, catering, birthday food, lunches, event prizes, and miscellaneous on the company credit card.
  • Provide general administrative support to HR Dept. including resume screening, interviewing, onboarding, and more.

Qualifications

  • High school graduate or GED required.
  • Minimum of five (5) years of coordination experience in corporate office or hotel/resort with various administrative services including receptionist, front desk operations, and/or office equipment/supplies procurement.
  • Energetic, personable, determined professional with a strong customer service orientation
  • Strong ability to establish and maintain effective relationships with wide cross-section of individuals
  • Sound proficiency in Microsoft Office 365
